Job Description – Site Material Purchaser & Store Coordinator

Position: Site Material Purchaser & Store Coordinator

Department: Purchase / Site Operations

Reporting To: Project Manager / Management

Job Summary

Responsible for site material purchasing, market procurement, material follow-up, receiving, stock management, and store coordination. The person should ensure that required construction materials are available at site on time while maintaining proper records and controlling wastage and shortages.

Key Responsibilities

1. Material Purchasing & Market Procurement

• Purchase construction materials, tools, consumables and other site requirements as instructed.
• Visit local markets, suppliers and dealers as and when required for urgent and regular purchases.
• Obtain and compare quotations from multiple vendors to ensure competitive pricing.
• Negotiate rates, delivery schedules and commercial terms wherever required.
• Ensure purchased materials meet the approved specifications, brand and quality requirements.
• Develop and maintain relationships with reliable local suppliers and vendors.

• Coordinate daily with Site Engineers/Project Manager regarding upcoming material requirements.
• Ensure materials are ordered sufficiently in advance to avoid work stoppages.
• Follow up with suppliers for timely delivery of ordered materials.
• Immediately report anticipated shortages, price changes or delivery delays.

• Maintain proper records of all material received, issued, transferred and available in stock.
• Regularly check physical stock against store records.
• Maintain minimum stock levels for frequently used materials and consumables.
• Inform management/site team before critical materials reach minimum stock levels.
• Ensure materials are properly stacked, labelled, stored and protected from damage, theft or deterioration.
• Monitor slow-moving, excess and unused materials.

• Verify quantity, quality, brand/specification and condition of materials received at site.
• Cross-check supplier challans/invoices against purchase orders and actual quantities received.
• Immediately report damaged, short-supplied or incorrect materials and coordinate replacement/return.
• Ensure proper acknowledgement and documentation for every delivery.

• Maintain purchase bills, delivery challans, quotations, purchase records and vendor details.
• Maintain updated Material Inward/Outward Register and Stock Register.
• Submit purchase bills and supporting documents to the accounts/office team on time.
• Provide regular stock and purchase reports to management.
• Maintain proper records of petty cash/advance received for market purchases and submit bills with complete reconciliation.

Key Expectations

The candidate should be honest, responsible, organised and capable of independently handling site purchasing and stores. Strong knowledge of construction materials and the local supplier market will be preferred.
