Sales Support Coordinator

Location: Jaipur, Rajasthan (in-office)

Reports to: Founder / Sales Head

Experience: 1–3 years (freshers with strong Excel + communication skills considered)

Role Summary

Own the backend of our sales cycle — keeping every enquiry, quotation, and order accurately recorded in our ERP system and ensuring customers receive fast, correct, professional quotations.

Key Responsibilities

Quotation Management

• Receive customer RFQs (email, WhatsApp, phone) and log them same-day
• Prepare and send quotations in ERPNext with correct item codes, HSN, GST, MOQ, lead time, and validity
• Coordinate with purchase team for pricing/availability on non-stock items
• Follow up on open quotations and record outcomes (won / lost / pending) with reasons

Sales Records

• Maintain accurate customer master data — contacts, addresses, GSTIN, payment terms
• Convert approved quotations into sales orders; track order status through dispatch
• Keep the sales pipeline updated daily so reports reflect reality
• Maintain a customer-wise price history to keep quoting consistent

Coordination & Reporting

• Liaise between customers, purchase, and dispatch on delivery timelines
• Share weekly reports: quotations sent, conversion rate, pending orders, overdue follow-ups
• Assist with proforma invoices, payment follow-up reminders, and documentation

Requirements

• Graduate in any discipline (B.Com / BBA preferred)
• Comfortable with Excel and learning ERP software (ERPNext experience a plus)
• Clear written and spoken English and Hindi — most quotations go out over email
• Strong attention to detail; a wrong price or HSN code is a real cost to the business
• Organized and self-driven — this role runs on follow-ups

Good to Have

• Exposure to industrial products, tools, MRO, or B2B distribution
• Understanding of GST basics and commercial documentation
