Customer Care Executive

Handle inbound and outbound calls, respond promptly to new leads and recover missed enquiries.

Explain approved treatments, promotions and pricing; book consultations and appointments in Phorest.

Confirm appointments, manage routine rescheduling and cancellations, and maintain accurate CRM notes.

Send approved deposit payment links; follow up unpaid deposits flagged by Riya and coordinate payment verification with accounts.

Follow up inactive clients and rebooking opportunities; escalate clinical questions and complaints to authorised Australian staff.

Coordinate with Zia AI concierge on call handovers, follow-ups and unresolved cases.

Prepare daily reports on calls, connected leads, confirmed bookings, booking value and pending deposit follow-ups.

REQUIRED SKILLS

• Excellent spoken and written English is mandatory, with clear and confident telephone communication.

• Customer service, telesales, appointment booking or hospitality experience preferred.

• Strong interpersonal skills, accurate data entry and ability to work with booking or CRM systems.

• Availability for shifts aligned with Australian clinic operating hours. PERFORMANCE MEASURES

• Speed of lead response, call connection rate, lead-to-booking conversion and confirmed booking value.

• Deposit follow-up completion, appointment accuracy, client satisfaction and quality of CRM records.
