Job Description
Assistant Manager – Admin (MEP Background Preferred)
Administration & Facility Management
• Manage day-to-day administrative operations across corporate office and branch locations.
• Ensure smooth functioning of office infrastructure, utilities, and facilities.
• Maintain office assets, furniture, equipment, and infrastructure.
• Implement administrative SOPs and ensure compliance across locations.
MEP (Mechanical, Electrical & Plumbing) Management
• Oversee maintenance of electrical, HVAC, plumbing, fire safety, DG sets, UPS, and other MEP systems.
• Coordinate preventive and breakdown maintenance to minimize downtime.
• Ensure all MEP systems comply with statutory and safety standards.
• Coordinate with external vendors for repairs, servicing, and AMC activities.
Branch Setup & Expansion
• Coordinate new branch setup activities including civil, electrical, networking, furniture, and branding.
• Monitor project timelines and ensure branches are operational as per schedule.
• Coordinate with internal stakeholders and vendors for smooth execution.
Vendor Management
• Identify, evaluate, and onboard vendors.
• Negotiate pricing, contracts, and service agreements.
• Monitor vendor performance and service quality.
• Ensure timely renewal of AMC and service contracts.
Procurement & Inventory Management
• Manage procurement of office supplies, electrical items, furniture, fixtures, and facility related materials.
• Maintain inventory records and stock levels.
• Optimize procurement costs while maintaining quality standards.
Budget & Cost Control
• Prepare and monitor administrative budgets.
• Track facility expenses and identify cost-saving opportunities.
• Verify vendor invoices and coordinate with Finance for payments.
Compliance & Safety
• Ensure compliance with statutory requirements related to facilities.
• Conduct regular safety inspections.
• Ensure fire safety equipment is functional and certifications are updated.
• Coordinate audits related to administration and facilities.
Asset Management
• Maintain asset register for all branches.
• Track asset allocation, movement, repairs, and disposal.
• Conduct periodic physical asset verification.
Housekeeping & Security
• Supervise housekeeping and security personnel.
• Ensure office cleanliness, hygiene, and security standards.
• Resolve facility-related complaints promptly.
Team Coordination
• Lead and guide the administration team.
• Allocate responsibilities and monitor performance.
• Coordinate with HR, IT, Finance, Projects, and Operations departments.
Documentation & Reporting
• Prepare MIS reports on administration, maintenance, and project status.
• Maintain records of AMC, service reports, vendor contracts, and compliance documents.
• Present monthly reports to senior management.

Preferred Qualifications
• Bachelor's Degree in Mechanical, Electrical, Civil Engineering, or Facilities Management.
• MBA/PGDM is an added advantage.
• 5–8 years of experience in Administration & Facility Management.
• Experience managing multi-location offices/retail branches.
• MEP project and maintenance experience is highly preferred.
• Knowledge of statutory compliance, fire safety, and facility audits.
• Proficiency in MS Office (especially Excel) and ERP systems.
• Kannada is preferred for coordination with local vendors and branch teams.
