Operation Executive

About the Role

We are a fast-growing D2C food brand (dry fruits, healthy snacks, makhana, millet products and more) supplying to leading marketplaces and quick-commerce platforms. We are looking for a hands-on Operations Executive who has already worked on both e-commerce and quick-commerce portals and can own the full PO-to-inward cycle — from PO acceptance and appointment booking to dispatch, delivery and GRN follow-up.

Key Responsibilities

PO & Portal Management

•     Monitor, review and accept/reject Purchase Orders daily on Amazon Vendor Central, Blinkit, Swiggy Instamart, Zepto, FirstClub and other portals.

•     Check PO quantities against available stock and flag shortfalls to the manager before acceptance.

•     Maintain a live PO tracker (PO no., portal, SKU, qty, value, expiry date, appointment, dispatch and GRN status).

Appointments, Shipments & Dispatch

•     Book delivery appointments / slots with portal warehouses (dark stores, mother hubs, FCs) within the required TAT.

•     Create shipments, ASNs and invoices on the portals; prepare packing lists, labels and box-level details.

•     Handle Amazon Seller Central FBA inbound shipment creation and send-to-Amazon workflows.

•     Coordinate with the warehouse and transporters for timely picking, packing and dispatch as per appointment.

•     Track every vehicle till delivery; share POD and resolve rejections at the warehouse gate.

Inwarding, GRN & Claims

•     Follow up with portal warehouse teams for timely inwarding and GRN.

•     Reconcile dispatched vs. received quantities; raise tickets for short-receipts, damages and rejections.

•     Follow up on debit notes, returns (RTV) and pending claims till closure.

Reporting & Communication

•     Morning report: yesterday’s PO dispatch and inwarding status, plus today’s dispatch and delivery alignment.

•     EOD report: portal-wise PO status and shipment status, shared daily on email and the operations WhatsApp group.

•     Escalate any risk to fill rate, appointment slot or on-time delivery immediately.

•     Coordinate with category, account managers and portal support teams on operational issues.

Key Performance Indicators (KPIs)

•     PO fill rate and PO acceptance %

•     Appointment booking TAT

•     On-time dispatch and on-time inward %

•     GRN / claim closure rate

•     Daily report discipline (morning + EOD, on time, accurate)

Must-Have Requirements

•     1–3 years of hands-on operations experience in BOTH e-commerce and quick commerce (candidates with only one of the two will not be considered).

•     Working knowledge of at least one e-commerce portal (Amazon Vendor Central / Seller Central, Flipkart, JioMart) and at least one quick-commerce portal (Blinkit, Swiggy Instamart, Zepto, BigBasket/BB Now).

•     Clear understanding of PO, appointment, ASN, invoice, GRN, fill rate and debit note processes.

•     Good in MS Excel / Google Sheets (VLOOKUP/XLOOKUP, Pivot Tables, basic formulas).

•     Comfortable with fast-paced, deadline-driven daily operations and warehouse/transporter coordination.

•     Good written and spoken communication in English and Hindi; Kannada is a plus.

Good to Have

•     Experience in FMCG / food / D2C brand operations.

•     Experience with Amazon FBA inbound and quick-commerce dark-store / mother-hub supply.

•     Exposure to inventory planning or demand forecasting.

Education

•     Graduate in any discipline (BBA / B.Com / Supply Chain preferred).
