Ltd. is a leading milk processing plant located in Jagdalpur, Chhattisgarh, engaged in milk procurement from village collection centers, processing, packaging, and distribution of dairy products across the region. Our transport fleet plays a critical role in ensuring timely milk procurement and product dispatch while maintaining cold chain integrity.

Position SummaryWe are seeking an experienced and disciplined Transport Manager to lead and manage the complete transport operations of our dairy plant. The role involves managing milk pick-up vehicles, milk tankers, dispatch vehicles, drivers, fuel management, vehicle maintenance, documentation, and gate control activities. The ideal candidate must ensure 24x7 uninterrupted movement of milk and dairy products with cost efficiency, safety, and compliance.

  • Key Roles & Responsibilities1. Fleet Management (Milk Pick-Ups & Tankers)Plan and manage daily operations of all milk pick-up vehicles, insulated milk tankers, chilling vans, and product dispatch vehicles.
  • Prepare and execute route planning for milk procurement from village-level collection centers (VLCCs) and Bulk Milk Coolers (BMCs).
  • Ensure timely arrival of raw milk at the plant to maintain freshness and cold chain.
  • Monitor product dispatch vehicles to distributors, retailers, and outlets across Chhattisgarh.
  • Optimize fleet utilization to reduce empty runs and transportation costs.
  • 2. Vehicle Service, Maintenance & RepairsPrepare and maintain a preventive maintenance schedule for all vehicles (engine service, oil change, coolant, brakes, clutch, etc.).
  • Ensure timely servicing of tankers, insulation checks, and CIP (Clean-In-Place) cleaning of milk tankers.
  • Manage tyre inspection, rotation, retreading, and replacement as per usage cycle.
  • Coordinate with authorized service centers, garages, and local mechanics for repairs.
  • Maintain vehicle history cards for each vehicle with service and repair records.
  • Reduce vehicle breakdowns and downtime through proactive maintenance.
  • 3. Driver Recruitment & ManagementCoordinate with HR for hiring of drivers, cleaners, and helpers with valid Heavy/Light Motor Vehicle licenses.
  • Verify driver credentials — Driving License, Aadhaar, Police Verification, Medical Fitness.
  • Prepare driver duty rosters, shift schedules, and reliever plans ensuring 24x7 coverage.
  • Monitor driver behavior, punctuality, discipline, and driving performance.
  • Conduct driver training on safe driving, food safety, hygiene, and vehicle handling.
  • Handle driver grievances, incentives, overtime, and disciplinary matters.
  • 4. Fuel & Mileage ManagementManage daily diesel filling records for all vehicles with proper authorization.
  • Maintain vehicle-wise mileage tracking (KM per litre) and identify variations.
  • Prevent fuel theft and pilferage through proper controls and GPS monitoring.
  • Coordinate with authorized fuel stations / in-house diesel bunk for economical fuel procurement.
  • Prepare monthly fuel consumption reports and cost analysis.
  • Implement fuel-saving practices and driver awareness programs.
  • 5. Gate In / Gate Out ControlEnsure strict Gate Entry & Gate Exit register for all vehicles (incoming and outgoing).
  • Verify vehicle documents, driver ID, load details, milk quantity, and product dispatch slips at gate.
  • Coordinate with Security Department for vehicle checking, seal verification, and material movement.
  • Maintain records of empty tanker in, loaded tanker out, and vice versa.
  • Track turnaround time (TAT) for each vehicle at the plant.
  • 6. Vehicle Documentation & ComplianceEnsure all vehicles have valid RC, Insurance, Fitness Certificate, PUC, Permit, Road Tax, and Route Permit.
  • Maintain a document tracker with renewal alerts to avoid expiry.
  • Ensure compliance with Motor Vehicles Act, Transport Rules, and Food Safety norms for milk transport.
  • Handle RTO-related work, challans, and regulatory inspections.
  • Ensure FSSAI compliance for food-grade vehicles carrying milk and dairy products.
  • 7. Vehicle Tools & Accessories ManagementMaintain checklist of tools, spare tyres, jacks, tool kits, first aid, fire extinguishers, and safety kits in every vehicle.
  • Conduct daily check-in and check-out inspections of vehicles for tools and accessories.
  • Ensure GPS devices, temperature sensors, and tracking systems are working in all milk tankers.
  • Manage inventory of spare parts, lubricants, and consumables for the transport department.
  • 8. Cold Chain & Milk Quality AssuranceEnsure insulated tankers maintain required temperature (2–4°C) during milk transport.
  • Coordinate with QC team for tanker cleanliness, sanitization, and hygiene before every trip.
  • Prevent milk contamination during transport through proper handling protocols.
  • Report temperature deviations and take corrective action immediately.
  • 9. Daily Reporting & MISPrepare and submit daily transport MIS reports to management:
  • Vehicle-wise trip report
  • Diesel consumption & mileage
  • Milk procurement quantity vs. route
  • Vehicle breakdown & downtime
  • Driver attendance & duty
  • Maintain records in ERPNext / Transport Management System for real-time tracking.
  • Analyze transport cost per litre of milk and identify cost-saving opportunities.
  • 10. Safety, Security & Emergency HandlingEnsure road safety compliance — helmets, seat belts, speed limits, no drunk driving.
  • Handle accident cases, insurance claims, and emergency breakdowns on route.
  • Coordinate with local police, RTO, and insurance companies as required.
  • Implement GPS tracking and geo-fencing for all vehicles to ensure route adherence.
  • 11. Vendor & Contract ManagementManage relationships with hired vehicle owners, transporters, and logistics vendors.
  • Negotiate freight rates, contracts, and payment terms.
  • Verify hired vehicle bills, trip sheets, and settlement of vendor payments.
  • Evaluate vendor performance and take corrective action.

  • Qualifications & ExperienceEducation: Graduate / Diploma in Automobile / Mechanical / Logistics Management
  • Experience: 7–12 years in transport / fleet management, preferably in dairy, milk procurement, FMCG cold chain, or food logistics
  • Technical Skills: Knowledge of vehicle mechanics, GPS tracking, fleet management software, ERPNext (Transport / Assets module)
  • Language: Hindi (mandatory), English (working knowledge), Chhattisgarhi (preferred)
  • Key Skills & CompetenciesStrong knowledge of fleet operations, milk tankers, and cold chain logistics
  • Hands-on experience in driver management and route planning
  • Sound understanding of Motor Vehicles Act, RTO procedures, and FSSAI transport norms
  • Excellent leadership and team management skills
  • Analytical mindset with strong reporting and cost control abilities
  • Ability to work under pressure and handle 24x7 operations
