Job Description

We are looking for a Back Office Executive with knowledge of sales, purchases, quotation preparation, order processing, and documentation. The candidate will support the sales and procurement teams by maintaining records, coordinating with customers and vendors, and ensuring smooth day-to-day office operations.


  • Key Responsibilities: Sales Support: Prepare and send quotations to customers.
  • Follow up on quotations and purchase orders.
  • Generate sales orders, invoices, and delivery challans.
  • Coordinate with customers regarding order status and dispatch schedules.
  • Maintain customer databases and sales records.
  • Assist in tender and bid documentation.
  • Purchase & Procurement: Prepare and send RFQs (Request for Quotations) to vendors.
  • Obtain and compare vendor quotations.
  • Prepare purchase orders and follow up with suppliers.
  • Track material delivery schedules.
  • Maintain vendor records and purchase documentation.
  • Coordinate with stores and accounts departments.
  • Back Office Operations: Manage office correspondence, emails, and documentation.
  • Maintain MIS reports and Excel records.
  • Update ERP/Tally/software entries related to sales and purchases.
  • Prepare monthly sales and purchase reports.
  • Handle filing, document control, and record management.
  • Coordination: Communicate with customers, suppliers, transporters, and internal departments.
  • Resolve routine order and documentation issues.
  • Support management in preparing business reports and presentations.
  • Required Skills: Good knowledge of MS Excel, Word, and Email communication.
  • Knowledge of Tally ERP / Busy / ERP Software preferred.
  • Understanding of GST, invoices, e-way bills, and purchase documentation.
  • Strong communication and follow-up skills.
  • Ability to work independently and manage multiple tasks.
  • QualificationGraduate (B.Com, BBA, MBA, or equivalent preferred).
  • Diploma holders with relevant experience may also apply.
  • Experience: 1–5 years of experience in Back Office, Sales Coordination, Purchase Coordination, or Administration.
  • Experience in electrical equipment trading/manufacturing companies will be preferred.
  • Salary: As per experience and industry standards.
