Job Description

Job Summary

The Purchase Incharge is responsible for planning, sourcing, and procuring pharmaceutical products from authorized manufacturers, stockists, and suppliers. The role ensures uninterrupted product availability, cost-effective purchasing, inventory optimization, and compliance with pharmaceutical regulations. The Purchase Incharge works closely with the Sales, Warehouse, Accounts, and Logistics teams to ensure smooth business operations.

Key Responsibilities

  • Plan and execute the procurement of medicines, medical devices, and healthcare products.
  • Maintain optimum inventory levels based on sales trends and stock movement.
  • Coordinate with pharmaceutical companies and suppliers for product availability, pricing, schemes, and timely deliveries.
  • Monitor stock shortages, back orders, and slow-moving inventory.
  • Ensure procurement from authorized and compliant suppliers.
  • Verify purchase invoices, delivery challans, and Goods Receipt Notes (GRNs).
  • Monitor batch numbers, expiry dates, and damaged products, and coordinate returns or replacements.
  • Maintain accurate purchase records and documentation in ERP/software.
  • Prepare daily, weekly, and monthly purchase and inventory reports.
  • Coordinate with the Accounts department for invoice reconciliation and vendor payments.
  • Resolve supplier-related issues, including delayed deliveries, pricing discrepancies, and product quality concerns.
  • Continuously evaluate supplier performance based on quality, service, pricing, and delivery timelines.
  • Ensure compliance with company policies, GST requirements, and pharmaceutical regulations.

Required Qualifications

  • Bachelor's degree in any
  • 1–5 years of experience in pharmaceutical purchasing or distribution.
  • Experience in a pharmaceutical distributor, stockist, or healthcare supply chain is preferred.

Required Skills

  • Strong knowledge of pharmaceutical products and procurement processes.
  • Inventory planning and stock management.
  • Vendor management and negotiation skills.
  • Excellent communication and interpersonal skills.
  • Strong analytical and problem-solving abilities.
  • Good understanding of GST documentation and pharmaceutical compliance.
  • Ability to work under pressure and meet procurement deadlines.

Working Conditions

  • Full-time position.
  • Coordination with suppliers, warehouse, logistics, accounts, and sales teams.
  • May require occasional travel for supplier meetings or audits.
