Job Description – Front Office Executive

Position: Front Office Executive

Location: South Delhi Position : Front Office Executive 

The Front Office Executive serves as the first point of contact for visitors, clients, and employees, ensuring a professional, courteous, and efficient reception service. The role involves managing front desk operations, handling administrative tasks, coordinating meetings, and providing general office support while maintaining the highest standards of confidentiality and 


Key Responsibilities Front Office Executive

 Welcome and assist visitors, clients, and stakeholders in a professional manner.

 Maintain the reception area to ensure it is clean, organized, and presentable at all times.

 Manage visitor registration, issue visitor passes, and maintain visitor records.

 Ensure adherence to security and access control procedures.

Communication Management

 Receive, screen, and direct incoming telephone calls professionally.

 Handle incoming and outgoing emails, couriers, and postal correspondence.

 Take accurate messages and promptly communicate them to the concerned personnel. Administrative Support

 Coordinate meeting room bookings and prepare meeting rooms as required.

 Provide administrative assistance to various departments.

 Maintain office records, registers, and documentation.

 Assist in preparing reports, correspondence, and other administrative documents.

 Coordinate with housekeeping, security, and maintenance teams to ensure smooth office operations. Office Coordination

 Monitor office supplies and coordinate replenishment.

 Support travel arrangements and logistics, where required.

 Coordinate with vendors for routine office-related services.

 Assist in organizing meetings, conferences, and official events. Customer Service

 Respond to visitor and employee queries promptly and professionally.

 Maintain high standards of hospitality and service.

 Ensure confidentiality of sensitive information and official records. Compliance

 Follow ADB policies, administrative procedures, and security protocols.

 Ensure compliance with health, safety, and workplace regulations.

 Perform any other duties assigned by the reporting manager. 

Qualifications

 Bachelor's Degree in any discipline from a recognized university.

 Diploma or certification in Front Office Management or Hospitality will be an added advantage.

Experience

 2–5 years of experience in Front Office, Reception, or Administrative Support.

 Experience in multinational organizations, embassies, financial institutions, or corporate offices will be preferred.

Required Skills

 Excellent verbal and written communication skills in English and Hindi.

 Strong interpersonal and customer service skills.

 Professional appearance and positive attitude.

 Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).

 Good organizational and time management skills.

 Strong attention to detail and accuracy.

 Ability to maintain confidentiality and professionalism.
