Job Description

We are seeking a highly organized, proactive, and trustworthy Personal Secretary to provide comprehensive administrative and personal support to the Director. The ideal candidate will manage schedules, coordinate meetings, handle communications, maintain confidential records, and ensure the smooth functioning of the Director's day-to-day activities.

Key Responsibilities:

Administrative Support

Manage the Director's calendar, appointments, and meetings.

Coordinate travel arrangements, hotel bookings, and itineraries.

Prepare reports, presentations, and correspondence as required.

Organize and maintain files, documents, and records.

Communication Management

Screen and manage phone calls, emails, and other communications.

Act as a liaison between the Director and internal/external stakeholders.

Draft and respond to routine correspondence on behalf of the Director.

Meeting Coordination

Schedule and organize meetings, conferences, and events.

Prepare meeting agendas and take minutes when required.

Follow up on action items and ensure timely completion.

Personal Assistance

Assist with personal errands and tasks assigned by the Director.

Coordinate personal appointments and commitments.

Handle confidential and sensitive information with discretion.

Office Coordination

Monitor pending tasks and ensure timely execution.

Coordinate with different departments for smooth workflow.

Maintain professional relationships with vendors, clients, and partners.

Requirements:

Bachelor's degree preferred.

2–5 years of experience as a Personal Secretary, Executive Assistant, or similar role.

Excellent verbal and written communication skills.

Strong organizational and multitasking abilities.

Proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace.

Ability to maintain confidentiality and professionalism.

Strong problem-solving skills and attention to detail.

Preferred Skills:

Experience working directly with senior executives or directors.

Knowledge of travel management and event coordination.

Ability to work under pressure and manage multiple priorities.
