Role Overview

The Office Executive will be responsible for managing day-to-day administrative operations, facility management, documentation control, vendor coordination, inventory tracking, and employee support activities. The role requires ensuring smooth office functioning, maintaining accurate records, supporting internal teams, and creating an efficient workplace environment through effective administration and operational support.


Key Responsibilities


Office Administration & Oversight

  • Manage daily administrative activities and ensure smooth, efficient office operations.
  • Maintain petty cash records, manage office budgets, and verify supporting bills for expenses.
  • Oversee asset tracking, monitor office assets, and arrange professional repairs or replacements.
  • Coordinate with internal departments to collect, compile, and streamline necessary operational information.


Inventory & Pantry Management

  • Monitor and maintain optimal stock levels for stationery requirements and general office supplies.
  • Track pantry-related expenses and verify bills for daily refreshments and office hospitality.
  • Keep a physical check on office inventory to report any damage or immediate replacement needs.


Facilities & Infrastructure Management

  • Ensure the timely opening and closing of office premises every working day.
  • Monitor the proper functioning of office utilities and infrastructure, including electricity, water, internet, and AC.
  • Track utility bills, manage Annual Maintenance Contracts (AMC) renewals, and schedule equipment servicing.
  • Act as the primary point of contact for external vendors and service providers for maintenance requirements.
  • Supervise housekeeping staff to ensure the absolute cleanliness, maintenance, and upkeep of office premises.


Documentation & Compliance Management

  • Ensure proper structured filing and maintenance of company records, both physical and digital.
  • Maintain strict confidentiality and absolute security of sensitive company documents and records.
  • Review, compile, and organize bills, invoices, receipts, and supporting financial documents.
  • Submit official reports, compliance documents, and required information to stakeholders within defined timelines.
