Dispatch & Warehouse Operations Manager

Working Hours: 10:30 AM – 9:00 PM

Experience: 2–5 years in warehouse, dispatch, order fulfillment, inventory or operations

About the Role

We are looking for a responsible and experienced Dispatch & Warehouse Operations Manager who can independently manage our daily order processing, inventory coordination, vendor procurement and dispatch operations.

The person will be responsible for ensuring that every order moves smoothly from order processing → stock verification → vendor procurement → warehouse receiving → fulfillment → dispatch.

The candidate will also be responsible for supervising the operations staff and maintaining discipline, productivity and proper workflow within the team.

Key Responsibilities1. Order Processing & Fulfillment

• Process and verify daily website orders.
• Check order requirements and identify items that are available in-house.
• Allocate available stock against orders.
• Identify items that are out of stock or short in quantity.
• Ensure orders are processed within the required timelines.
• Coordinate with the dispatch team to ensure orders are packed and dispatched on time.

2. Inventory & Stock Management

• Monitor daily in-hand stock.
• Maintain accurate stock records and identify stock shortages.
• Track fast-moving and frequently required products.
• Ensure finished/out-of-stock items are immediately identified.
• Coordinate replenishment of required products.
• Ensure proper inwarding and updating of received stock.

3. Vendor Coordination & Procurement

• Place orders with respective vendors for products not available in-house.
• Follow up with vendors regarding pending orders and delivery timelines.
• Coordinate incoming material from vendors to the warehouse.
• Check received material against the required quantity/product.
• Escalate delays, shortages, quality issues or incorrect material immediately.

4. Dispatch Operations

• Ensure all ready orders are handed over to the packing/dispatch team on time.
• Coordinate with the dispatch team for pending and priority orders.
• Track pending orders and ensure there are no unnecessary delays.
• Maintain proper coordination between order processing, warehouse and dispatch staff.
• Identify bottlenecks and take corrective action.

5. Staff Management

• Supervise warehouse and dispatch staff on a daily basis.
• Allocate work to team members according to workload.
• Monitor attendance, punctuality, discipline and productivity.
• Ensure staff follow the defined processes and work standards.
• Train new staff whenever required.
• Take responsibility for ensuring that assigned work is completed on time.
• Escalate serious performance or discipline issues to management.

6. Daily Operations Reporting

• Maintain daily pending-order status.
• Track orders awaiting stock, vendor material, processing or dispatch.
• Report operational issues and delays to management.
• Provide daily updates on order fulfillment, pending orders and procurement.
• Maintain proper coordination between management, vendors and warehouse staff.
• Candidate Requirements2–5 years of experience in warehouse / dispatch / e-commerce operations / inventory / order fulfillment.
• Experience managing a small team is preferred.
• Good understanding of inventory and stock management.
• Strong follow-up and coordination skills.
• Comfortable dealing with vendors and warehouse staff.
• Good communication and decision-making skills.
• Must be responsible, disciplined and proactive.
• Should be comfortable working in a fast-paced e-commerce environment.
• Basic computer knowledge is required.
• Experience with Shopify, inventory software, Excel/Google Sheets or similar systems will be an advantage.
