Job Title: IT Hardware Sales Operations Executive (Order Processing & Vendor Coordination)

Job SummaryWe are looking for a proactive and detail-oriented Sales Operations Executive with exposure to the IT hardware / system integrator (SI) industry. The role involves handling end-to-end order processing—from responding to client requirements and sharing quotes, to vendor sourcing, invoicing, logistics coordination, and MIS reporting.

The ideal candidate should be fast, accurate, and comfortable working in a high-volume, deadline-driven environment.

  • Key Responsibilities Client Requirement Handling & QuotationRespond to client requirements (laptops, desktops, accessories, etc.) received via email.
  • Prepare and share competitive quotations within a quick turnaround time.
  • Coordinate internally with sales/OEM teams for pricing, availability, and specifications.
  • Ensure accuracy in product configuration (RAM, SSD, model numbers, warranty, etc.).
  •  Vendor Sourcing & ProcurementFloat enquiries to multiple distributors/vendors (minimum 3) for the best pricing.
  • Compare quotes and finalize orders with the L1 vendor, ensuring:Product authenticity
  • Timely availability
  • Reliable delivery timelines
  • Maintain strong relationships with distributors like Ingram, Redington, Savex, etc. (preferred).
  •  Order Processing & InvoicingProcess confirmed orders and maintain proper documentation.
  • Generate invoices using Tally with complete accuracy.
  • Ensure alignment between quotation, PO, and invoice (model, quantity, pricing, GST).
  •  Logistics & Delivery CoordinationCoordinate with the internal logistics/dispatch team for timely deliveries.
  • Track material movement and update clients proactively.
  • Handle delivery escalations and ensure smooth closure.
  •  MIS & Client ReportingPrepare and share MIS reports with clients (order status, deliveries, pending items).
  • Maintain internal trackers for orders, billing, and dispatch.
  • Ensure data accuracy and timely reporting.
  • Key Skills & RequirementsStrong understanding of IT hardware products (laptops, desktops, accessories).
  • Basic knowledge of OEMs like Lenovo, HP, Dell.
  • Experience working with IT distributors is a plus.
  • Proficiency in Tally (invoicing) and MS Excel (MIS, tracking).
  • Excellent email communication and coordination skills.
  • High attention to detail (especially in configurations and pricing).
  • Ability to handle multiple orders simultaneously under tight deadlines.
  • Preferred Profile0–3 years of experience in IT hardware sales coordination / backend operations / SI environment.
  • Candidates from IT resellers, distributors, or system integrators preferred.
