Job Title: MIS Executive
Department: Home Healthcare Services / Rehabilitation
Reports To: Director
Office time:-7.30-3pm or 3-10pm(2 shift + incentives for overtime)
Job Purpose
We are looking for a highly organized and responsible MIS Executive to manage and coordinate the day-to-day operations of our Home Healthcare and Physiotherapy Services.
The candidate will act as the key point of contact between patients, physiotherapists, doctors, and management. The role involves patient coordination, therapist allocation, scheduling, reporting, service quality monitoring, payment coordination, and supporting the overall growth of the home-visit department.
Key Responsibilities
1. Home Visit Operations
- Manage the daily operations of physiotherapy home visits.
- Allocate patients to physiotherapists based on location, availability, expertise, and patient requirements.
- Prepare and manage daily home-visit schedules.
- Monitor attendance, punctuality, cancellations, and missed visits.
- Handle last-minute schedule changes and replacement arrangements.
2. Physiotherapist Coordination & Management
- Coordinate with HR for the recruitment and onboarding of physiotherapists.
- Maintain and update the database of active physiotherapists and their service areas.
- Monitor therapist performance, productivity, visit count, cancellations, and patient retention.
- Coordinate performance reviews and training requirements.
- Handle operational staff issues and escalate serious concerns to management.
3. Patient Coordination
- Handle new patient enquiries and schedule home-visit appointments.
- Understand patient requirements and assign suitable physiotherapists.
- Maintain regular communication with patients and their families.
- Follow up regarding treatment continuation and packages.
- Handle patient complaints professionally and ensure timely resolution.
- Collect patient feedback and reviews.
4. Service Quality & Clinical Coordination
- Ensure proper assessment and treatment records are maintained.
- Monitor treatment progress and regular updates from physiotherapists.
- Coordinate communication between physiotherapists, doctors, and the clinic.
- Ensure quality service for elderly, post-operative, neurological, and mobility-restricted patients.
5. Revenue & Business Development
- Support the achievement of monthly home-visit revenue targets.
- Generate leads through patient follow-ups, referrals, and existing clinic patients.
- Promote home physiotherapy packages and long-term treatment plans.
- Track enquiries, conversions, active patients, repeat visits, and referrals.
- Identify opportunities for expanding home healthcare services.
6. MIS Reporting & Documentation
Prepare and maintain daily, weekly, and monthly reports related to:
- New enquiries and conversions
- Active patients
- Total visits completed
- Cancelled and missed visits
- Physiotherapist-wise visit count
- Revenue generated
- Outstanding payments
- Patient feedback and complaints
- Package sales and renewals
- Referral sources
- Therapist performance
7. Payment & Collection Coordination
- Follow up on pending payments and outstanding invoices.
- Maintain accurate records of patient payments.
- Coordinate with the clinic for billing and payment reconciliation.
8. Customer Relationship Management
- Maintain strong relationships with patients and their families.
- Conduct regular follow-ups with long-term patients.
- Encourage package renewals and continuation of treatment where appropriate.
- Ensure a professional and premium patient experience.
- Coordinate the collection of Google reviews and patient testimonials.
Required Skills & Qualities
- Excellent communication and coordination skills.
- Strong knowledge of MS Excel and MIS Reporting.
- Good organizational and time-management skills.
- Ability to handle multiple tasks and schedules efficiently.
- Strong follow-up and customer relationship skills.
- Problem-solving and decision-making ability.
- Experience in healthcare, physiotherapy, rehabilitation, or home healthcare will be preferred.
