Job SummaryWe are looking for a smart, organized, and energetic Administrative Receptionist who will be responsible for managing the front desk while providing administrative support to ensure smooth day-to-day office operations. The ideal candidate should have excellent communication skills, be proficient with computers, and maintain a professional attitude while interacting with customers, suppliers, and employees.
- Key ResponsibilitiesFront Office & ReceptionWelcome and assist visitors, customers, vendors, and guests professionally.
- Answer incoming calls and transfer them to the concerned department.
- Handle enquiries and take accurate messages.
- Maintain the reception area in a clean and presentable condition.
- Manage visitor records and appointment schedules.
- Administrative SupportPrepare letters, quotations, and office documents.
- Maintain physical and digital filing systems.
- Scan, print, photocopy, and organize important documents.
- Maintain employee attendance and leave records.
- Assist management with daily administrative work.
- Coordinate meetings and maintain meeting schedules.
- Handle courier dispatches and incoming deliveries.
- Computer & DocumentationGood knowledge of Microsoft Excel and Word.
- Maintain reports using Excel.
- Prepare MIS reports whenever required.
- Update customer, supplier, and employee records.
- Assist in data entry and documentation.
- Accounts CoordinationBasic knowledge of Tally ERP/Prime.
- Coordinate with the accounts department for invoices and documentation.
- Maintain payment follow-up records.
- Assist in filing GST and accounting documents.
- Digital & Creative SupportBasic knowledge of Canva for designing simple creatives.
- Basic photo editing skills.
- Basic video editing using CapCut.
- Assist in creating promotional posters and festival greetings.
- Support WhatsApp Business broadcasts and customer communication.
- Office AdministrationMaintain office stationery and pantry inventory.
- Coordinate with housekeeping and office boys.
- Follow up on office maintenance and vendor services.
- Ensure smooth day-to-day office operations.
- Maintain confidentiality of company information.
