Job Description

We are looking for a proactive, highly organized, and dependable Personal Assistant (PA) to provide high-quality administrative and secretarial support to our top management.

In this role, you will act as the primary point of contact for internal and external parties on all matters pertaining to the management's office. The ideal candidate will be an expert multitasker, able to manage complex schedules, handle confidential information with discretion, and ensure day-to-day business operations run smoothly and efficiently.

  • Key ResponsibilitiesCalendar & Schedule Management: Organize, coordinate, and maintain the executive’s daily calendar, scheduling meetings, appointments, and corporate events.
  • Communication Gatekeeper: Manage incoming calls, emails, and correspondence; filter information and highlight urgent matters for immediate action.
  • Travel Coordination: Arrange comprehensive travel itineraries, flights, hotel bookings, and local transportation for business trips.
  • Documentation & Reporting: Prepare, draft, and edit professional emails, letters, business proposals, meeting agendas, and presentations.
  • Meeting Support: Attend meetings, take precise minutes of meetings (MoM), track actionable points, and follow up with respective team members.
  • Data & File Management: Maintain a highly structured and confidential physical and digital filing system for corporate records.
  • Liaisoning: Act as a smooth link between the management and internal teams (such as accounts, HR, and sales operations) or external clients to ensure seamless communication.
  • Skills and QualificationsEducation: Bachelor’s degree in Business Administration, Communications, Commerce, or a related field.
  • Experience: [Insert Number, e.g., 2-4 years] of proven experience as a Personal Assistant, Executive Assistant, or Secretarial role.
  • Technical Skills: Advanced proficiency in MS Office (Word, Excel, PowerPoint) and professional email etiquette. Familiarity with calendar tools (Google Calendar/Outlook).
  • Communication: Exceptional verbal and written English communication skills. Strong professional presentation.
  • Soft Skills: Outstanding time-management and multi-tasking abilities. Strong problem-solving mindset and the ability to work independently under pressure.
