Job Description

  • Key Duties & Responsibilities1. Administrative SupportManage executives' calendars, appointments, and meetings.
  • Organize travel arrangements, accommodation, and itineraries.
  • Prepare reports, presentations, and business correspondence.
  • Maintain confidential files and records.
  • 2. Communication ManagementHandle phone calls, emails, and official correspondence.
  • Act as a liaison between management, employees, clients, and vendors.
  • Draft letters, notices, and meeting minutes.
  • 3. Meeting CoordinationSchedule and coordinate meetings and conferences.
  • Prepare agendas and meeting materials.
  • Record minutes and follow up on action items.
  • 4. Office ManagementEnsure smooth office operations and administrative processes.
  • Monitor office supplies and coordinate procurement.
  • Maintain organized filing systems, both physical and digital.
  • 5. Documentation & Record KeepingMaintain company records, contracts, and important documents.
  • Prepare and update reports, spreadsheets, and databases.
  • Ensure proper document control and confidentiality.
  • 6. Executive AssistanceAssist senior management in daily business activities.
  • Conduct research and gather information for decision-making.
  • Track deadlines, projects, and follow-up tasks.
  • 7. Customer & Vendor CoordinationCommunicate with clients, suppliers, and business partners.
  • Resolve routine inquiries professionally.
  • Maintain positive business relationships.
  • Required SkillsExcellent communication skills (English & Hindi).
  • Strong organizational and time-management abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Email and document management skills.
  • Professional appearance and behavior.
  • Ability to handle confidential information.
  • Multitasking and problem-solving skills.

  • QualificationBachelor's Degree preferred.
