Job Description
The Manager will act as the central point of coordination between management, faculty, administrative staff, students, and other support staff, and will ensure that all institutional activities are carried out efficiently, systematically, and on time.
The position requires strong leadership, coordination, communication, supervision, discipline, and problem-solving skills.
Key Responsibilities
A. Overall Institution Management
- Ensure that all operational and administrative activities are carried out smoothly.
- Coordinate between different departments, teams, faculty members, and support staff.
- Ensure that institutional policies, procedures, and instructions issued by management are properly implemented.
- Identify operational issues and take timely corrective action.
- Maintain discipline, professionalism, and a productive working environment throughout the institution.
B. Class & Academic Operations Management
- Ensure that classes are conducted as per the approved schedule.
- Coordinate with faculty members regarding class timings, availability, substitutions, and schedule changes.
- Monitor classroom readiness, attendance, timing, and basic operational requirements.
- Ensure that required study materials, classrooms, equipment, and other resources are available before classes.
- Handle and resolve routine issues related to class management and coordination.
- Coordinate backup/substitute arrangements in case of faculty absence or unavoidable schedule changes.
C. Schedule & Timetable Management
- Ensure that there are no unnecessary clashes or gaps in the schedule.
- Communicate schedule changes to concerned faculty, staff, and students in a timely manner.
- Maintain an updated master schedule of institutional activities.
D. Staff Management & SupervisionSupervise and coordinate the work of faculty members, administrative staff, office attendants, counsellors, and other support staff.
- Allocate responsibilities and monitor completion of assigned work.
- Maintain staff attendance, punctuality, leave records, and general discipline.
- Ensure that staff members follow their assigned duties and institutional procedures.
- Conduct regular follow-ups with staff regarding pending tasks and responsibilities.
- Address routine staff-related operational issues and escalate serious matters to management.
- Evaluate staff performance from an operational and disciplinary perspective and provide feedback to management.
E. Student Management & CoordinationOversee the overall student-facing operations of the institution.
- Ensure that students receive proper information and assistance regarding classes, schedules, tests, study materials, and institutional activities.
- Address routine student complaints, queries, and operational concerns.
- Maintain discipline and professional conduct among students within the institution.
- Coordinate with faculty and relevant staff to resolve student-related issues.
- Escalate serious complaints or sensitive matters to management when required.
F. Office & Administrative OperationsOversee routine office administration and ensure that office work is completed properly and on time.
- Monitor documentation, records, files, registers, and other administrative requirements.
- Ensure timely procurement and availability of stationery, teaching materials, office supplies, and other operational requirements.
- Coordinate with vendors, service providers, and external parties as required.
- Monitor basic maintenance, cleanliness, infrastructure, equipment, and other facility-related requirements.
- Ensure that computers, classroom equipment, internet, electricity, and other essential facilities remain operational and report issues promptly.
G. Communication & CoordinationAct as the primary coordination point for day-to-day institutional operations.
- Maintain effective communication between management and staff.
- Ensure that instructions from management are communicated accurately and implemented properly.
- Coordinate meetings, staff briefings, academic planning discussions, and operational reviews whenever required.
- Maintain appropriate communication with students, parents/guardians, vendors, and other stakeholders as assigned.
H. Monitoring & ReportingMaintain regular oversight of the institution's operational performance.
- Prepare and submit daily/weekly/monthly operational reports as required by management.
- Track class schedules, staff attendance, pending tasks, student-related issues, operational problems, and other important activities.
- Highlight delays, deficiencies, recurring problems, or risks to management.
- Maintain proper records of important institutional activities and decisions.
I. Discipline & ComplianceEnsure that all staff members maintain professional conduct, punctuality, discipline, and workplace standards.
- Ensure that institutional rules and management instructions are followed.
- Take immediate action on routine disciplinary or operational issues within the authority delegated by management.
- Maintain confidentiality of institutional, staff, student, financial, and other sensitive information.
- Report serious misconduct, negligence, conflicts, or policy violations to management.
J. General ResponsibilitiesTake ownership of the overall operational functioning of the institution.
- Proactively identify problems before they affect classes or institutional operations.
- Coordinate and delegate work wherever necessary.
- Ensure timely completion of assigned institutional tasks.
- Perform any other reasonable duties and responsibilities related to institutional management and operations assigned by the management from time to time.
The Manager will be responsible for the day-to-day operational supervision and coordination of the institution.
The Manager may:
- Assign and distribute routine operational responsibilities among staff.
- Coordinate staff schedules and work assignments.
- Monitor staff performance, attendance, punctuality, and discipline.
- Take routine operational decisions necessary for the smooth functioning of the institution.
- Escalate major academic, financial, disciplinary, HR, or policy-related matters to management.
