Job Description – Graphic Designer (Design & Execution)

About Mindset Media

Mindset Media is an ISO 9001:2015 certified, Sedex certified and MSME registered retail branding and fixture execution company. We design, manufacture, supply and install retail signage and bespoke display fixtures for brands such as Luxottica (Ray-Ban, Oakley, Vogue), Carlsberg, AMD, PhonePe, SBI, Pantaloons, WOW! Momo and Nikon, with pan-India installation capability.

Role Summary

This is an end-to-end client role. You will be the single owner of every assigned client job, from the first brief until the payment is received. You will arrange the recce, adapt the designs, get client approval, hand the job to our factory team for execution, and then invoice the client and follow up on payment. You will also brief printing vendors and keep track of vendor payments.

Job flow you will own: Client brief → Recce → Design & adaptation → PPT + cost sheet → Client approval → Estimate → PO from client → Factory production & printing → Execution → Invoice against PO → Payment collection

Key Responsibilities

1. Recce & Site Coordination

•     Plan and arrange recces of outlets and sites shared by the client

•     Coordinate with recce staff and field teams; collect measurements, photos and site details

•     Compile recce data into a clean, outlet-wise tracker

2. Design & Creative Adaptation

•     Adapt brand artwork and key visuals to outlet and site sizes received from recce (shop signs, dealer boards, in-store branding, fixtures)

•     Prepare print-ready, layered files (AI / CDR / PDF) with correct size, bleed, colour mode and resolution

•     Create mock-ups and visualizations of signage and fixtures on site photos

•     Keep artwork files organized by client, project and outlet

3. Client Servicing & Approvals

•     Act as the day-to-day point of contact for assigned clients

•     Prepare PowerPoint presentations (designs, mock-ups, recce summaries) and cost sheets for clients

•     Get written approval on designs, quantities and costs before production

•     Share timely status updates and handle client queries and changes

4. Production & Printing Vendor Coordination

•     Hand over approved designs, specifications and job cards to the production team

•     Send print files to printing vendors, check proofs and follow up on delivery timelines

•     Check output quality (color, size, finish) before dispatch or installation

5. Estimates, PO, Invoicing & Collections

•     Prepare estimates, quotations and invoices as and when needed; get estimates and quotations approved internally and by the client, and obtain the client's Purchase Order (PO) before the job goes into production

•     Prepare and raise GST-compliant invoices after job completion, strictly against the PO received (matching PO number, items, quantities and rates), with supporting documents (photos, delivery and installation proofs) as required by the client

•     Follow up on payments and maintain a receivables tracker

6. Vendor Payments & Records

•     Verify vendor bills against purchase orders and work done

•     Process and track vendor payments as per approval

•     Maintain project-wise cost records to track margin on each job

Skills Required

•     Strong working knowledge of CorelDRAW, Adobe Illustrator, photoshop, etc.

•     Understanding of print and signage production: flex, vinyl, sunboard, ACP, acrylic, LED signage, bleed, CMYK, DPI

•     Good PowerPoint and Excel skills (cost sheets, trackers, basic formulas)

•     Familiarity with Zoho Books, Zoho drive is a plus

•     Keeps up with the latest design and retail branding trends, and actively uses AI tools (for example ChatGPT, Claude, Adobe Firefly, Midjourney, Canva AI) to speed up creative adaptation, mock-ups, presentations, cost sheets and client communication

•     Clear written and spoken communication in English, Hindi and Bengali

•     Organized, detail-oriented and able to manage several clients and jobs at the same time

•     Comfortable following up firmly but politely with clients and vendors

Qualifications

•     Graduate in any discipline; a diploma or degree in graphic design / fine arts is preferred

•     2–5 years of relevant experience in a signage, printing, retail branding, BTL or advertising company
