Job Description
- Client Onboarding & Account Development Identify and target specific clients that match the company's Property Preservation & Maintenance capabilities and service coverage.
- Complete the client's online onboarding/application form as the first step of the onboarding process.
- Carefully review all client requirements, guidelines, service areas, pricing structures, SLAs, documentation standards, insurance requirements, licensing requirements, and vendor qualifications.
- Collect, prepare, and submit all required company documentation according to the client's onboarding checklist.
- Provide any additional information or documentation requested by the client during the onboarding process.
- Coordinate and schedule onboarding meetings with the client and ensure the appropriate internal team members attend.
- Clearly present the company's:
- Service capabilities
- Geographic coverage
- Vendor coverage
- Property Preservation services
- Maintenance services
- Inspection capabilities
- Emergency/after-hours support
- Operational capacity
- Technology and work-order management capabilities
- Provide the client with a coverage map/service area based on the client's requirements and the company's actual vendor coverage.
- Compare the client's required coverage with the company's available coverage and identify any gaps.
- Coordinate with the Vendor Management team to develop additional coverage where necessary.
- Complete all onboarding requirements, portal setup, credentials, training, orientation, and system integration before accepting production work.
- Maintain a complete onboarding checklist and ensure 100% completion of all required onboarding steps.
- Once the onboarding system is fully completed and the account is activated, establish a regular communication process with the client.
- Post-Onboarding – Work Order Development Proactively communicate with the client on a regular basis to increase work-order volume.
- Maintain daily communication with clients and look for opportunities to receive as many appropriate work orders as the company can successfully handle.
- Ensure the company has sufficient vendor coverage before accepting additional work volume.
- Coordinate internally so that new work orders are immediately distributed to the appropriate Vendor Manager/Processor.
- Monitor incoming work orders throughout the day and ensure no opportunity is missed.
- Build client confidence by consistently demonstrating fast response times, reliable completion, accurate documentation, and strong communication.
- Develop the client relationship from initial onboarding into a long-term, high-volume account.
- Work Order Completion & Client Satisfaction Ensure all accepted work orders are completed within the client's required due date/SLA.
- Continuously monitor open work orders and identify potential delays before the deadline.
- Follow up with vendors daily when necessary to keep work moving.
- Maintain the client's specific requirements on every work order.
- Ensure all required photos, measurements, estimates, invoices, comments, inspections, and supporting documentation are completed correctly.
- Make sure work is completed according to the client's specifications rather than simply completing the basic scope.
- Immediately communicate any access issue, weather delay, property condition, safety concern, material issue, or other obstacle that could affect completion.
- Request ECD extensions when necessary and obtain proper client approval.
- Maintain strong quality control to minimize rejected work orders, rework, complaints, and payment delays.
- Client Service & Support Always provide the client with professional, responsive, and solution-oriented support.
- Respond quickly to client emails, calls, portal messages, and requests.
- Treat every client requirement as a priority and ensure the internal team understands those requirements.
- Resolve client concerns quickly and professionally.
- Take ownership of problems instead of simply passing them to another department.
- Maintain transparency with clients regarding work status, delays, approvals, and completion.
- Continuously look for ways to make the client's job easier by providing better communication, faster turnaround, accurate documentation, and dependable service.
