Job Summary

The Logistics Operations Executive will be responsible for coordinating and monitoring import and export shipments from booking to final delivery. The role involves liaison with Customs House Agents (CHA), freight forwarders, shipping lines, transporters, CFSs, and customers to ensure smooth execution of shipments, timely documentation, customs clearance, transportation, and delivery activities.

Key Responsibilities

Import Operations

  • Coordinate with CHA for customs clearance of import shipments.
  • Follow up on filing of Bill of Entry and customs clearance status.
  • Coordinate with shipping lines, freight forwarders, and CFSs for delivery formalities.
  • Arrange Delivery Orders (DO) and monitor cargo availability.
  • Coordinate with transporters for vehicle placement at ports/CFSs.
  • Ensure timely delivery of import cargo to customer locations.
  • Track shipments and provide regular updates to customers and management.

Export Operations

  • Coordinate with customers for shipment planning and export schedules.
  • Arrange vehicle placement at shipper locations for cargo pickup.
  • Coordinate movement of export cargo to nominated CFS, ICD, or port.
  • Follow up with CHA for customs documentation and export clearance.
  • Coordinate with freight forwarders and shipping lines for vessel bookings.
  • Ensure timely cargo handover and shipment execution.

Documentation & Customer Coordination

  • Coordinate with customers for shipping instructions and required export/import documentation.
  • Share draft BLs, checklists, and shipping documents with customers for approval.
  • Verify shipping documents for accuracy before submission.
  • Follow up for approved documentation within required timelines.
  • Maintain shipment files and records in physical and digital formats.
  • Prepare and update shipment status reports.

Freight Forwarder & Shipping Line Coordination

  • Coordinate bookings with freight forwarders and shipping lines.
  • Obtain and verify booking confirmations.
  • Follow up for Bill of Lading (BL), House BL, and related shipping documents.
  • Track vessel schedules and shipment movements.
  • Coordinate amendments, documentation corrections, and shipment updates.

Transportation Coordination

  • Arrange vehicles through approved transporters for import and export movements.
  • Monitor vehicle placement, loading, unloading, and transit status.
  • Ensure timely movement of cargo between shipper, CFS, port, and customer locations.
  • Resolve transportation and delivery-related issues proactively.

Customer Service

  • Provide shipment status updates to customers.
  • Address customer queries regarding shipment movement, documentation, and delivery schedules.
  • Ensure timely communication regarding delays, issues, or exceptions.
  • Maintain strong customer relationships through professional service.

Qualifications

  • Graduate in Commerce, Logistics, Supply Chain Management, Business Administration, or related discipline.
  • Additional qualification in Shipping, Logistics, or International Trade will be an advantage.

Experience

  • 1–3 years of experience in freight forwarding, customs clearance, shipping, logistics, or import-export operations.
  • Freshers with relevant logistics education may also be considered.

Skills Required

  • Knowledge of import and export documentation.
  • Understanding of customs clearance procedures and shipping processes.
  • Familiarity with Bill of Lading, Delivery Orders, Bill of Entry, Shipping Bill, and related logistics documents.
  • Good communication and coordination skills.
  • Ability to manage multiple shipments simultaneously.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Strong follow-up and problem-solving abilities.
  • Attention to detail and documentation accuracy.
