Job Description

Job SummaryWe are seeking a professional and customer-focused Front Office Executive to manage the reception area and support administrative activities in our manufacturing facility. The ideal candidate will be responsible for handling visitors, telephone communications, employee coordination, document management, and ensuring smooth front-office operations.

  • Key ResponsibilitiesReception & Visitor ManagementWelcome and assist visitors, customers, vendors, and contractors.
  • Maintain visitor records and issue visitor passes as per company policy.
  • Coordinate visitor meetings with concerned departments.
  • Ensure compliance with security and safety procedures for visitors.
  • Communication ManagementHandle incoming and outgoing calls professionally.
  • Route calls to the appropriate departments and personnel.
  • Manage official emails and respond to general inquiries.
  • Coordinate communication between departments when required.
  • Administrative SupportMaintain records, files, and office documents.
  • Handle inward and outward courier services.
  • Assist in preparing reports, letters, and presentations.
  • Maintain office stationery and coordinate procurement requests.
  • HR & Employee SupportSupport HR in employee onboarding and documentation.
  • Assist in maintaining attendance and employee records.
  • Coordinate employee meetings, training sessions, and events.
  • Support recruitment activities by scheduling interviews.
  • Facility CoordinationCoordinate with housekeeping, security, and maintenance teams.
  • Ensure the reception and waiting areas are clean and presentable.
  • Report facility-related issues to the administration department.
  • Required QualificationsBachelor's Degree in any discipline.
  • 1–3 years of experience as a Front Office Executive, Receptionist, or Administrative Assistant.
  • Freshers with excellent communication skills may also apply.
  • Required SkillsExcellent verbal and written communication skills.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Good interpersonal and customer service skills.
  • Strong organizational and multitasking abilities.
  • Professional appearance and positive attitude.
  • Ability to work independently and as part of a team.
  • Preferred SkillsExperience in a manufacturing or industrial environment.
  • Knowledge of office administration procedures.
  • Familiarity with ERP/HRMS software is an added advantage.
