Role Summary

We are looking for an E-Commerce Accountant who can manage accounting, GST compliance, inventory records, shipment preparation, and marketplace-related financial data for our online business.

The role is not limited to bookkeeping only. The person must be comfortable handling Amazon / Flipkart / other marketplace transactions, multiple State GSTINs, inventory movement, FBA / warehouse shipments, and day-to-day coordination between accounts and operations.

This is a practical role. The candidate should be able to work with numbers, stock, invoices, GST data, and marketplace reports without depending on constant supervision.

Key Responsibilities

1. E-Commerce Accounting

The candidate will be responsible for maintaining proper accounting records for online marketplace sales, returns, settlements, reimbursements, expenses, and deductions.

Responsibilities include:

• Recording marketplace sales in accounting software.
• Matching Amazon / Flipkart settlements with sales reports.
• Accounting for marketplace fees, commission, shipping charges, ads charges, TCS, TDS, GST, reimbursements, and claims.
• Reconciling marketplace payments with bank receipts.
• Checking short payments, excess deductions, return deductions, and pending reimbursements.
• Preparing monthly sales and expense summaries.

2. GST Compliance for Multiple State GSTINs

The candidate must be able to handle GST records for businesses operating under multiple State GST registrations.

Responsibilities include:

• Maintaining sales data GSTIN-wise and State-wise.
• Preparing data for GSTR-1 and GSTR-3B.
• Reconciling GST liability with marketplace reports.
• Checking TCS credit from e-commerce operators.
• Tracking input tax credit.
• Maintaining invoice records State-wise.
• Coordinating with CA / GST consultant for filing.
• Ensuring correct GSTIN is used for stock transfer, sales, and marketplace registration.
• Maintaining proper records for inter-state stock movement and branch transfers, wherever applicable.

3. Shipment Preparation

The candidate will also assist in preparing and managing marketplace shipments.

Responsibilities include:

• Preparing Amazon FBA / Flipkart / warehouse shipment plans.
• Creating packing lists and shipment records.
• Coordinating carton-wise stock packing.
• Checking SKU-wise quantity before dispatch.
• Preparing invoice / e-way bill / stock transfer documents wherever required.
• Maintaining shipment dispatch records.
• Tracking inbound shipment status.
• Following up for missing, delayed, or partially received shipments.
• Keeping records of shipment IDs, box count, SKU quantity, dispatch date, and receiving status.

4. Inventory Recordkeeping

The candidate must maintain accurate inventory records because e-commerce accounting is useless if stock records are weak.

Responsibilities include:

• Maintaining SKU-wise stock records.
• Recording purchases, production receipt, packing material usage, dispatch, returns, damages, and closing stock.
• Matching physical stock with system stock.
• Maintaining separate stock records for own warehouse, Amazon FBA, Flipkart, and other channels.
• Preparing stock movement reports.
• Tracking slow-moving and fast-moving products.
• Coordinating with packing / warehouse team for stock verification.
• Preparing reorder alerts based on stock level and sales trend.

5. Marketplace Report Handling

The candidate should be comfortable downloading and working with marketplace reports.

Reports may include:

• Amazon settlement report
• Amazon sales report
• FBA inventory report
• Return report
• Reimbursement report
• Ads invoice / payment report
• TCS report
• GST tax report
• Flipkart settlement and sales reports
• State-wise sales reports
• Warehouse / FC-wise shipment reports

The candidate should know how to use Excel properly. Basic Excel is not enough. He should be able to clean data, use filters, pivot tables, VLOOKUP / XLOOKUP, and prepare summaries.

• Required Skills: Good knowledge of accounting entries.
• Practical understanding of GST.
• Experience with multiple GSTINs will be preferred.
• Knowledge of Amazon / Flipkart accounting will be strongly preferred.
• Good command over Excel.
• Ability to reconcile large data.
• Understanding of inventory and stock movement.
• Ability to coordinate with warehouse / packing / dispatch team.
• Working knowledge of Tally / Busy / Zoho Books / other accounting software.
• Attention to detail.
• Ability to work independently and meet deadlines.
• Preferred Experience: 2 to 4 years of experience in e-commerce accounting, GST accounting, inventory accounting, or marketplace operations.
• Experience in Amazon FBA accounting will be a major advantage.
• Experience in FMCG / Ayurveda / healthcare / packaged products business will be preferred.
• Candidate Should Be Able To Handle Marketplace settlement reconciliation.
• GST data preparation for multiple States.

• Return and reimbursement checking.
• Excel-based reporting.
• Coordination between accounts, warehouse, and management.

Not Suitable For

This role is not suitable for someone who only knows basic voucher entry and expects accounts work to be limited to Tally entries.

The candidate must be hands-on with reports, inventory, GSTIN-wise data, marketplace deductions, shipment records, and reconciliation.
