Warehouse Supervisor

Preferance for candidates that Speak malayalam as majority of the Sales Team member are from Kerala.

Key Responsibilities

1. Order Processing & Fulfilment

Ensure all incoming customer orders are processed within the stipulated timelines.

• Coordinate with the Sales Team in Cochin to understand order priorities, special requirements and dispatch commitments.
• Ensure correct product selection, quantity verification, packing and labelling before dispatch.
• Minimise picking, packing and dispatch errors.
• Ensure urgent and priority orders are handled appropriately.
• Monitor pending orders and take proactive action to avoid dispatch delays.

2. Warehouse & Inventory Management

Maintain proper storage, organisation and identification of electronic components.

• Ensure products are stored systematically for easy identification and retrieval.
• Monitor stock movement and ensure accurate inventory records.
• Coordinate with the Purchase Team for inward stock, pending receipts and stock replenishment.
• Report stock discrepancies, damaged products, shortages and other inventory-related issues immediately.
• Ensure proper housekeeping, cleanliness and safety within the warehouse.

3. Coordination & Communication

Act as the primary point of contact between the Coimbatore warehouse and Cochin office.

• Maintain regular communication with the Sales and Purchase Teams.
• Provide timely updates regarding order processing, dispatch status, stock availability and operational challenges.
• Respond promptly to internal queries through phone, WhatsApp and email.
• Ensure clear communication of delays, shortages and customer-specific requirements.
• Maintain professional working relationships with all internal stakeholders.

4. Dispatch & Logistics Management

Coordinate with courier partners and transport agencies.

• Ensure shipments are handed over to the appropriate logistics partners on time.
• Verify dispatch details, shipping labels and documentation.
• Track pending shipments and coordinate with logistics partners to resolve delivery issues.
• Maintain proper dispatch records and proof of shipment.

5. Team Management & Operational Discipline

Allocate daily tasks and monitor the performance of warehouse personnel.

• Ensure employees follow established SOPs and operational procedures.
• Train team members on picking, packing, inventory handling and dispatch procedures.
• Maintain discipline, accountability and productivity within the warehouse.
• Identify operational bottlenecks and suggest improvements to increase efficiency.

6. Reporting & Accountability

Submit daily reports on orders received, processed, pending and dispatched.

• Report order processing delays and their reasons.
• Maintain records of dispatch accuracy, inventory discrepancies and pending inward materials.
• Escalate operational issues to management without delay.
• Continuously identify opportunities to improve warehouse productivity and reduce errors.

Key Performance Indicators (KPIs)

Performance will be evaluated based on the following parameters:

1. Order Processing TAT: Percentage of orders processed within the committed timeline.
2. Dispatch Accuracy: Percentage of orders dispatched without product or quantity errors.
3. Inventory Accuracy: Accuracy of physical stock against system records.
4. Pending Orders: Effective monitoring and reduction of pending orders.
5. Communication Efficiency: Timely responses and coordination with Sales and Purchase Teams.
6. Warehouse Discipline: Maintenance of housekeeping, safety and SOP compliance.
7. Team Productivity: Effective utilisation and supervision of warehouse manpower.
