Title:

Specialist, IT Asset Administration

We are seeking a detail-oriented Software Asset Management (SAM) Administrator to join our global SW Asset Management team. This role is responsible for supporting the full software lifecycle within the organization, ensuring efficient administration, procurement, tracking, and compliance of software assets.

This position involves working closely with IT teams, vendors, and internal stakeholders to manage software requests, incidents, procurement activities, and financial tracking processes.

Key Responsibilities

General

  • Independently manage a high volume of Software Asset Management (SAM) tickets within ServiceNow queues.
  • Take ownership of tickets, ensuring timely resolution or reassignment to the appropriate teams.
  • Maintain accurate records by entering contract management data into the ServiceNow platform.
  • Collaborate with cross-functional IT teams to support software deployment and lifecycle activities.

Procurement & Financial Administration

  • Obtain vendor quotations via email and coordinate procurement activities.
  • Create and manage software requisitions in line with business requirements.
  • Process goods receipts, cancellations, and updates in procurement systems.
  • Perform invoice reconciliation between purchase orders, shopping carts, and invoices.
  • Ensure timely filing and documentation within electronic systems.
  • Identify and resolve accounts and billing discrepancies, taking full ownership until closure.

Reporting & Operations Support

  • Track software assets, usage, and internal billing processes.
  • Support reporting requirements related to software procurement and asset management.

Required Skills & Qualifications

  • Strong communication skills with the ability to collaborate across teams.
  • Advanced proficiency in Microsoft Excel.
  • Excellent time management and organizational skills with the ability to handle multiple priorities.
  • Demonstrated ability to work independently and manage workload effectively.
  • Experience with Dynamics and Costpoint systems.
  • Prior exposure to Software Asset Management processes and tools.
  • Experience supporting procurement, invoicing, or financial reconciliation activities in IT environments.
