Job Description

Key Responsibilities

Fleet & Driver Coordination

  • Coordinate with drivers and onboard staff remotely on a daily basis.
  • Monitor vehicle departures, arrivals, and schedule adherence.
  • Ensure timely reporting of delays, breakdowns, and operational issues.
  • Follow up with drivers regarding route progress, attendance, and trip completion.
  • Escalate operational concerns to the relevant departments.

Maintenance Coordination

  • Track preventive maintenance schedules and vehicle service requirements.
  • Coordinate with workshops and maintenance teams for repairs and servicing.
  • Follow up on breakdown resolutions and vehicle readiness.
  • Maintain records of maintenance activities and downtime.

Operations Documentation & Data Entry

  • Prepare and maintain vehicle trip sheets.
  • Enter operational data into ERP/MIS systems.
  • Process trip-related documentation and records.
  • Support vehicle utilization, fuel, and operational reporting.
  • Maintain accurate records of fleet movements and operational activities.

Billing & Invoicing Support

  • Prepare trip-wise invoicing and supporting documents.
  • Verify operational records before invoice generation.
  • Coordinate with finance teams for invoice submission and reconciliation.
  • Maintain invoice tracking and documentation.

Reporting & MIS

  • Generate daily operational reports.
  • Update fleet performance dashboards and trackers.
  • Maintain driver, vehicle, and trip databases.
  • Ensure data accuracy and timely reporting.

Requirements

  • 1–3 years of experience in fleet operations, logistics, transport, mobility, or related fields.
  • Strong communication skills in English, Tamil, and Hindi (preferred).
  • Comfortable coordinating with drivers and field teams over phone.
  • Good knowledge of Microsoft Excel, Google Sheets, and basic ERP systems.
  • Strong attention to detail and documentation skills.
  • Ability to work in a fast-paced operations environment.
  • Problem-solving and follow-up-oriented mindset.
