Job Description (JD) – Office Assistant Executive

Job Title: Office Assistant Executive

Job Summary

We are looking for a proactive and organized Office Assistant Executive to support day-to-day administrative and office operations. The candidate will ensure smooth office functioning by coordinating with employees, vendors, and management while maintaining office records and assets.

Key Responsibilities

  • Handle day-to-day office administration activities.
  • Manage inward/outward documents, courier, and correspondence.
  • Maintain office files, records, and documentation.
  • Coordinate with vendors for office supplies and maintenance.
  • Maintain petty cash and office expense records.
  • Monitor office inventory and place purchase requests when required.
  • Coordinate travel bookings, hotel reservations, and vehicle arrangements.
  • Assist in organizing meetings, conferences, and company events.
  • Maintain attendance records and support HR/admin activities.
  • Ensure office cleanliness, safety, and proper functioning of office facilities.
  • Coordinate with IT for laptops, printers, internet, and office equipment.
  • Prepare reports, MIS, and administrative documentation as required.
  • Perform any other administrative tasks assigned by management.

Required Qualifications

  • Graduate in any discipline.
  • 3 years of experience in Administration or Office Operations.
  • Freshers with excellent communication and computer skills may also apply.

Required Skills

  • Good communication skills.
  • Strong organizational and coordination abilities.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Email drafting and document management.
  • Basic knowledge of office accounting and petty cash.
  • Ability to multitask and work under deadlines.
  • Professional attitude and positive personality.

Preferred Skills

  • Experience in IT/System Integration company.
  • Knowledge of ERP or office management software.
  • Vendor coordination experience.
