Business Associate

Business Unit: Capability Hubs – US HR Operations

Location: Gurugram / Bangalore

Role Title: BA– HR Operations (Compliance)

Reporting To: Assistant Manager / Manager

Work Timings: US Shift - 4pm to 1:30Am

Key Responsibilities

1. HR Compliance Operations

  • Execute daily and weekly HR compliance processes in adherence to organizational and regulatory guidelines
  • Monitor employee lifecycle compliance, including resignation and termination documentation completeness
  • Ensure adherence to SLAs, quality standards, and internal compliance controls

    2. Resignation & Termination Documentation Compliance
    • Review weekly reports identifying employees with missing resignation/termination documentation 
    • Validate employee records via systems such as ServiceNow and CORE for submission of resignation/retirement form
    • Coordinate with stakeholders (HR, pillar leads, document management team) to obtain missing documents
    • Initiate and track document uploads into personnel files (OpenText/OPF) via intake forms [SOP 
    • Prepare and maintain “Note to File” documentation where required, ensuring accuracy and completeness of employee details
    • Handle different termination scenarios (voluntary, involuntary, RIF, legal/OGC cases) with proper documentation protocols 

    3. Document Management & Audit Support

    • Maintain accurate HR records and ensure all required documentation is audit-ready
    • Support internal and external audits by providing compliant and traceable documentation
    • Create, update, and maintain SOP documentation where required
    • Ensure document coding, naming conventions, and storage standards are followed

    4. Labor Law Compliance & Poster Management

    • Research and identify updates in federal, state, and local employment law posters using tools 
    • Update, maintain, and archive compliance posters across shared drives and SharePoint repositories
    • Manage poster lifecycle including updates, replacements, and archival tracking
    • Maintain poster logs and trackers ensuring regulatory compliance documentation is current
    • Coordinate with offices for poster deployment (electronic and hard copy) and track confirmations
    • Create and manage CORE tickets for compliance actions

    • 5. Stakeholder Management

      • Act as a point of contact for HR partners, onshore teams, and cross-functional stakeholders
      • Communicate effectively to resolve compliance queries and escalations
      • Coordinate with document management teams, legal teams, and HR stakeholders

      6. Reporting & Data Management

      • Generate and analyze compliance reports and dashboards
      • Ensure data accuracy across systems (ServiceNow, CORE, HRIS tools)
      • Identify discrepancies and proactively resolve data issues

      7. Continuous Improvement

      • Identify process gaps and recommend improvements in compliance workflows
      • Support automation and efficiency initiatives within HR operations
      • Contribute to SOP creation and process standardization

      Mandatory Technical & Functional Skills

      • Strong proficiency in MS Excel, Word, Outlook
      • Experience working with HR systems and document management tools
      • Knowledge of HR compliance processes and documentation controls
      • Ability to follow SOP-driven processes and ensure adherence to policies
      • Strong data management and reporting skills

      Preferred Skills

      • Experience in HR operations / compliance / shared services
      • Exposure to international (US) HR processes
      • Experience in documentation audits or governance processes
      • Familiarity with tools such as ServiceNow, SharePoint, or document repositories

Bachelor’s degree (BA / B.Com / BBA or equivalent)
