Job Description

We are seeking a motivated and detail-oriented Trainee to support customer order processing, procurement, and logistics activities. The role will provide hands-on exposure to CRM management, order compliance verification, purchasing operations, supplier coordination, and logistics execution.


Key Responsibilities:

  • Enter and maintain customer Purchase Orders (POs) in the CRM/ERP system.
  • Review and compare customer POs against approved quotations to ensure accuracy of pricing, quantities, delivery terms, and commercial conditions.
  • Verify customer orders for compliance with company policies, contractual requirements, and regulatory guidelines.
  • Coordinate with Sales, Finance, and Operations teams to resolve order discrepancies before processing.
  • Ensure all required documentation and approvals are in place prior to order release.
  • Maintain accurate records of customer orders, quotations, and compliance documents.


Procurement Functions:

  • Assist in creating and processing purchase orders to suppliers.
  • Follow up with suppliers on order confirmations, lead times, and delivery schedules.
  • Maintain procurement records, supplier documentation, and purchase files.
  • Monitor open purchase orders and support timely procurement of materials and services.
  • Assist in supplier communication and procurement reporting.


Logistics Functions:

  • Coordinate shipment arrangements with suppliers, freight forwarders, and logistics providers.
  • Track inbound and outbound shipments and provide status updates to stakeholders.
  • Assist with import/export documentation and customs clearance processes.
  • Support inventory reconciliation and warehouse-related activities.
  • Ensure logistics documentation is complete and accurately maintained.


Requirements:

  • Bachelor's degree (or final-year student) in Supply Chain, Logistics, Business Administration, Commerce, or a related field.
  • Strong attention to detail and analytical skills.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Good communication and coordination skills.
  • Ability to manage multiple tasks and work in a fast-paced environment.


Preferred Skills:

  • Basic understanding of procurement, logistics, and order management processes.
  • Strong organizational and documentation skills.
