Job Description
Job Summary
The Security Supervisor is responsible for managing the day-to-day security operations of the apartment community, ensuring proper deployment and discipline of security guards, effective visitor and vehicle management, regular patrolling, incident response, and compliance with the site’s security SOPs.
Key Responsibilities
1. Guard Management & Deployment
Prepare and manage daily guard deployment and duty rosters.
Ensure all guards report on time and are properly groomed and in uniform.
Monitor attendance, punctuality, discipline, and performance.
Arrange replacements for absentee guards without affecting site security.
Conduct daily briefings and shift handovers.
Ensure guards remain at their assigned posts and do not abandon duty points.
2. Visitor & Access Control
Ensure proper implementation of the apartment’s visitor entry procedures.
Monitor visitor, delivery, cab, vendor, and contractor entries.
Ensure resident approval is obtained wherever required.
Supervise the use of MyGate or other visitor-management systems.
Ensure unauthorized persons are not permitted inside the premises.
Monitor movement of domestic staff, vendors, and regular service personnel.
3. Patrolling & Surveillance
Conduct regular rounds of the entire property.
Ensure guards conduct scheduled patrols of:
Parking areas
Podium/common areas
Fire exits
Terrace/access points
Boundary walls
Electrical/utility areas
Children’s/play areas
Other vulnerable locations
Check CCTV cameras and report abnormalities.
Maintain patrol records and ensure scheduled patrols are completed.
4. Incident Management
Immediately respond to security incidents, emergencies, accidents, disputes, unauthorized entry, theft, fire alarms, etc.
Inform the Facility Manager/Operations Manager immediately about serious incidents.
Prepare detailed incident reports.
Coordinate with police, fire services, ambulance, or other emergency services when required.
Preserve CCTV footage and other relevant information related to incidents.
5. Emergency & Fire Safety
Ensure guards know emergency procedures and evacuation routes.
Conduct regular checks of emergency exits and access routes.
Ensure fire-fighting equipment is not blocked or misused.
Coordinate with the facility team during fire drills and emergencies.
6. Resident & Client Coordination
Maintain professional communication with residents, association members, Facility Manager, and client representatives.
Attend to security-related complaints and take corrective action.
Escalate unresolved or serious complaints to management.
Maintain a professional and courteous approach while dealing with residents and visitors.
7. Documentation & Reporting Maintain and verify:
Daily attendance register
Shift handover register
Visitor/vehicle records
Incident reports
Patrol reports
Key register
Material movement register
Contractor/vendor records
Security equipment checklist
Lost & found register
Daily occurrence/security logbook
Submit daily/weekly security reports to the Facility Manager/Operations Manager.
8. Training & Discipline
Conduct toolbox talks and regular security briefings.
Train guards on visitor management, emergency response, patrolling, and communication protocols.
Correct negligence, misconduct, and SOP violations.
Ensure guards understand their individual responsibilities and post instructions.
9. Equipment & Security Infrastructure
Check radios/walkie-talkies, torches, registers, barriers, boom gates, metal detectors, CCTV systems, and other security equipment.
Report defective equipment immediately.
Ensure security posts are clean, organized, and properly maintained.
10. Shift Handover
Before taking over the shift, the Supervisor must verify:
Guard attendance and deployment
Pending incidents
Important instructions from the previous shift
Keys and access cards
Security equipment
VIP/contractor movements
Any maintenance or security concerns
At the end of the shift, ensure a proper handover to the next Supervisor.
