Job Description

We are seeking an organized, proactive, and detail-oriented Manufacturing Office Administrator to oversee the day-to-day administrative operations of our plant and corporate office. This role acts as a vital bridge between the production floor, warehouse logistics, and corporate departments (such as HR and Finance). The ideal candidate thrives in a fast-paced environment and is adept at handling facilities management, data entry, and vendor coordination to ensure maximum plant productivity.


Production & Logistics Support

  • Coordinate between production, engineering, management, and procurement teams to maintain seamless information flow.
  • Assist in inventory tracking, managing office/factory supplies, and placing orders to avoid plant floor interruptions.
  • Prepare and distribute production orders, dispatch data, and other essential internal technical documentation.
  • Log and update databases regarding daily manufacturing metrics, shipment logs, and plant equipment repairs


Office & Facility Management

  • Oversee day-to-day office operations, ensuring the reception area, meeting rooms, and office equipment are pristine and functional.
  • Manage third-party facility vendors including security personnel, industrial cleaning, and general repairs.
  • Liaise with local suppliers to obtain job permits, handle official corporate correspondence, and process incoming/outgoing mail.


Financial & HR Administration

  • Track plant employee attendance and support the HR department with onboarding new facility hires.
  • Verify and process vendor invoices, create purchase orders (POs), and maintain accurate expense records.
  • Assist with basic bookkeeping and generate monthly Management Information System (MIS) reports for stakeholders. [1, 2, 3, 4]
