Job SummaryWe are looking for a responsible and proactive Admin Assistant to support the day-to-day administrative and office coordination activities at the corporate office. The candidate should ensure smooth office operations, maintain records, coordinate with vendors and employees, and support facility-related activities with professionalism and confidentiality.

  • Key ResponsibilitiesAdministrative SupportHandle day-to-day office administrative activities efficiently.
  • Maintain office files, documents, registers, and records systematically.
  • Coordinate internal communications and support departmental requirements.
  • Prepare reports, letters, MOMs, and administrative documentation.
  • Assist in scheduling meetings, appointments, and conference room arrangements.
  • Office CoordinationCoordinate with housekeeping, security, pantry, and maintenance teams.
  • Monitor office cleanliness, hygiene, and workplace standards.
  • Ensure proper availability of office supplies, stationery, and consumables.
  • Track inventory and maintain stock records for office materials.
  • Vendor & Facility CoordinationCoordinate with external vendors for maintenance and service activities.
  • Follow up for AMC schedules, service requests, and complaint closures.
  • Maintain vendor contact details, invoices, and service records.
  • Support facility inspections and audits when required.
  • Employee SupportAssist employees with administrative and office-related requests.
  • Coordinate ID cards, visitor management, courier handling, and access support.
  • Handle incoming calls, emails, and front-office coordination professionally.
  • Compliance & DisciplineEnsure adherence to company policies and office discipline.
  • Maintain confidentiality of company information and records.
  • Support emergency preparedness and safety compliance activities.
  • Required SkillsGood communication and coordination skills.
  • Basic knowledge of MS Office (Excel, Word, Outlook).
  • Strong organizational and multitasking abilities.
  • Professional behavior and customer-service attitude.
  • Ability to work independently and handle pressure situations.
  • Preferred QualificationGraduate / Diploma in Administration or related field.
  • 1–3 years of experience in office administration or corporate office support.
