Position Overview

The Front Office Executive serves as the first point of contact for patients, families, and visitors. This role is responsible for executing a smooth registration process, handling high-volume inquiries, and ensuring an empathetic, efficient patient experience. Given Bangalore’s cosmopolitan yet culturally diverse patient demographic, the ideal candidate must balance strong multilingual communication with sharp administrative skills in a fast-paced medical environment.

Key Responsibilities

1. Patient Relations & Front Desk Operations

  • Multilingual Assistance: Warmly greet and guide a diverse patient base, ensuring seamless communication with both local residents and corporate professionals.
  • Queue & Flow Management: Efficiently manage the outpatient department (OPD) queue, coordinate doctor availability, and minimize patient wait times.
  • Inquiry Handling: Manage the central desk telephone lines; provide accurate information regarding specialty departments, master health check-up packages, and visiting hours.

2. Registration, Billing & TPA Coordination

  • Hospital Information System (HIS): Handle patient registration, schedule appointments, and maintain digital health records accurately within the hospital software.
  • Billing & Cash Management: Process cash, card, and UPI (GPay/PhonePe) payments for consultations, diagnostics, and admissions. Reconcile daily collections securely.
  • Insurance & Corporate Desks: Coordinate closely with the internal TPA (Third-Party Administrator) team to guide patients through cashless admission procedures, corporate credit notes, and government health schemes if applicable.

3. Compliance & Administration

  • Confidentiality & Privacy: Maintain strict data privacy of patient medical files in accordance with hospital policies and medical data standards.
  • Regulatory Awareness: Adhere to general administrative protocols aligned with standard healthcare guidelines (such as KPME Act requirements regarding the visible display of fixed schedules and tariff boards at the reception desk).
  • Emergency Escalation: Act swiftly during emergency triage or code announcements by alerting duty medical officers, nursing supervisors, and security.

Graduate degree in any stream (BHA, BHM, B.Com, or BBA

preferred).

Experience

1–3 years of experience in front office or customer

service operations within a multi-specialty hospital, diagnostic chain, or

premium hospitality setup in Bangalore.

Language Skills

Mandatory: Fluency in Kannada and English (essential for

interacting with local patients and corporate/insurance partners). Ability to

speak Hindi or other regional languages (Tamil, Telugu, Malayalam) is a

significant advantage.

Technical Skills

Proficiency with HIS/EMR software and standard MS Office tools

(Excel and Word for daily reporting).

Competencies

Strong empathy, active listening, grooming standards, and

the resilience to handle high-stress situations calmly.
