Role OverviewAs an Event Coordinator, you will lead onsite execution and ensure every event is delivered flawlessly—from setup to closure. You will act as the central link between clients, kitchen teams, service staff, vendors, and internal stakeholders, ensuring timing, presentation, and guest experience meet the highest standards.

  • Key ResponsibilitiesEvent Execution: Oversee end-to-end onsite coordination, including setup, service readiness, timeline adherence, and breakdown.
  • Team Coordination: Brief service teams, align with chefs and logistics staff, and ensure clarity of roles and responsibilities.
  • Client Liaison: Act as the primary onsite point of contact for clients, planners, and venue teams.
  • Setup Oversight: Ensure buffet layouts, live counters, table settings, and branding elements are executed as planned.
  • Timeline Management: Monitor schedules closely to ensure smooth food service, replenishment, and guest flow.
  • Problem Solving: Manage real-time challenges calmly while maintaining guest experience and brand standards.
  • Vendor Coordination: Work closely with decorators, rental partners, and venue teams for seamless delivery.
  • Reporting: Share post-event feedback, observations, and improvement insights.
  • Pre-Event Support: Assist in planning checklists, event briefs, staffing, and coordination calls.
  • What We’re Looking ForExperience in event coordination, hospitality, banquets, or luxury service environments.
  • Strong organizational skills with the ability to manage multiple moving parts under pressure.
  • Excellent communication and client-handling abilities.
  • Sharp eye for detail in presentation and service quality.
  • Calm, solution-oriented mindset in fast-paced environments.
  • Flexibility to work evenings, weekends, and holidays.
  • Familiarity with catering logistics and venue operations is a plus.
  • Comfort with planning tools, spreadsheets, and communication workflows.
