Job Description

1. Sales Analysis & Purchase Planning

  • Review sales data from ERP (retail, wholesale, online)
  • Identify fast-moving and slow-moving products
  • Work with sales teams to plan stock based on demand
  • Ensure timely replenishment and optimal inventory levels



2. Vendor Sourcing & Management

  • Source and purchase products as needed
  • Identify and manage vendors (local & international)
  • Maintain backup suppliers
  • Ensure pricing, quality, and delivery timelines are met



3. Purchase Order (PO) Management

  • Create POs in ERP based on requirements
  • Ensure correct details (items, price, tax, quantity, etc.)
  • Share PO with vendors and get confirmation
  • Track orders and ensure timely delivery
  • Ensure ASN is updated after dispatch



4. GRN, Pricing & Quality Check

  • Verify goods received against PO and ASN
  • Check quantity, condition, and product details
  • Confirm pricing, margins, and tax details
  • Perform basic quality checks before GRN
  • Resolve any issues (damages, mismatch, pricing errors) with vendors
  • Coordinate for costing and proper documentation



5. Purchase Entry & Invoice Processing

  • Collect vendor invoices
  • Match PO, GRN, and invoice (3-way match)
  • Enter invoices in ERP after resolving discrepancies



6. Ledger Entry & Confirmation

  • Work with Accounts for correct ledger entries
  • Verify GST, purchase values, and adjustments
  • Share updated ledgers with vendors and confirm balances



7. Warranty, Replacement & Corrections

  • Handle product returns, replacements, and warranties
  • Ensure proper ERP updates
  • Track issues until resolved



8. Vendor Payment Processing

  • Initiate payments after all approvals (PO, GRN, invoice, ledger)
  • Share documents with Accounts
  • Track payment status and vendor confirmation



9. Inventory Control & Reporting

  • Monitor stock levels to avoid shortages or excess
  • Track slow-moving and dead stock
  • Prepare reports on purchases, inventory, and vendor performance
  • Support audits with proper documentation
