Job DescriptionPosition: Admin & Operations Executive

Employment Type: Full-Time

We are looking for a proactive, organized, and detail-oriented Admin & Operations Executive to manage administrative activities, office operations, event coordination, documentation, reporting, and stakeholder communication. The role requires strong follow-up skills, excellent documentation abilities, and the capability to coordinate with multiple internal and external stakeholders.

  • Key ResponsibilitiesAdministration & Office ManagementManage day-to-day office administration and operational activities.
  • Maintain physical and digital records, files, and documentation.
  • Draft professional emails, letters, notices, meeting agendas, and Minutes of Meetings (MOM).
  • Coordinate with vendors, consultants, auditors, service providers, and external agencies.
  • Handle office purchases and administrative requirements.
  • Operations & CoordinationCoordinate and monitor ongoing projects, activities, and action items.
  • Ensure timely follow-up and completion of assigned tasks.
  • Maintain databases, contact records, and operational reports.
  • Assist management with planning, scheduling, and coordination activities.
  • Track deadlines and ensure compliance with reporting requirements.
  • Event & Meeting CoordinationCoordinate meetings, seminars, workshops, conferences, and events.
  • Manage invitations, registrations, attendance records, venue arrangements, and logistics.
  • Coordinate with speakers, participants, sponsors, and stakeholders.
  • Prepare event-related documentation and post-event reports.
  • Reporting & DocumentationPrepare monthly, quarterly, and annual reports.
  • Compile presentations, MIS reports, and activity summaries.
  • Maintain proper documentation and record-keeping systems.
  • Ensure timely submission of reports and updates to management and relevant authorities.
  • Banking & Compliance CoordinationCoordinate with banks for routine documentation and submissions.
  • Follow up on account-related requirements and correspondence.
  • Coordinate with accountants, auditors, and consultants for document collection and submission.
  • Maintain compliance-related records and documentation.
  • Skills RequiredStrong written and verbal communication skills.
  • Good email drafting and documentation abilities.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Good organizational and multitasking skills.
  • Strong follow-up and coordination capabilities.
  • Ability to work independently and manage multiple priorities.
  • Professional approach while interacting with senior stakeholders.
  • QualificationGraduate in Commerce, Management, Business Administration, or any related field.
  • Additional certifications in Administration, Operations, or Office Management will be an advantage.
  • Experience2 to 5 years of experience in Administration, Operations, Executive Assistance, Office Coordination, or Event Coordination.
  • Experience in handling documentation, reporting, and stakeholder coordination will be preferred.
  • Preferred Candidate ProfileHighly organized and detail-oriented.
  • Strong sense of responsibility and ownership.
  • Good interpersonal and relationship management skills.
  • Comfortable working with deadlines and multiple assignments.
  • Experience in coordinating events, meetings, and administrative activities will be an added advantage.
